Operations Assistant (Bilingual)

PURPOSE: To provide operational organization to the program by run necessary programmatic errands and supply pickups, navigate facilities repairs, provide psychosocial support, and support other program staff in order to facilitate the daily operation of Ecumenical Ministries of Oregon’s HIV Services.

ACCOUNTABILITY: To the mission and goals of Ecumenical Ministries of Oregon (EMO) as determined by the Board of Directors, and as administered by the President and thier delegates.

REPORTS TO: HIV Services Program Manager

DIRECT REPORTS: N/A

LOCATION: EMO’s HIV Day Center program site and other sites as needed.

CLASSIFICATION:  Part-time 20/week, Non-exempt.

BENEFITS: Salary starts at $20.85 hourly. All regular employees (does not include on-call or temporary) are eligible for vacation, holidays, sick leave, 401(k) retirement plan, employee assistance program and employee trainings.  Employees in exempt positions or non-exempt positions that are 20 hours per week or more, also receive medical, dental, disability and life insurance, per eligibility requirements.

MAJOR RESPONSIBILITIES

  1. Responsible for supply ordering, pickups, and restocking of supplies.
  2. Navigate facilities and vehicle repairs, as needed.
  3. Provide technical assistance and support related to HIV Services’ devices, software, and internet.
  4. Contribute to Day Center social media and design Day Center monthly newsletter.
  5. Encourage a spirit of hospitality, organization, and community within the HIV Day Center. Maintain awareness of cultural issues and develop effective relationships with a diverse client population.
  6. Provide psychosocial support to Day Center clients, especially for Spanish-speaking clients and record Progress Notes in Storiicare.
  7. Ensure the safety of clients, staff, and volunteers by developing, maintaining, and enforcing client compliance with the HIV Day Center’s policies and procedures.
  8. Participate in outreach activities.
  9. Assist the Assistant Program Manager with responsibilities and perform other duties as assigned.

QUALIFICATIONS

Ability to work within the mission, vision and ethics of EMO, and maintain an understanding of the services provided by the programs and projects of EMO.

KNOWLEDGE:  Proficiency with Microsoft Windows applications, internet, and troubleshooting technological needs; Able to quickly learn in-house operations.

SKILLS: Must be proficient in Spanish language in reading and writing; Ability to problem solve and utilize available resources; Highly organized with strong attention to detail; Able to work with minimal supervision, able to work in a team and cover for team members; Excellent oral and interpersonal skills with the ability to listen to and affirm people from a wide variety of backgrounds and circumstances.

EFFORT: Be able to make decisions in high tension settings and to adjust to fluid and occasionally seemingly chaotic situations; Be able to lift and carry up to 50 pounds; Ability to multitask and have priorities shifted due to unforeseen situations, while maintain professionalism.

RESPONSIBILITY: Flexibility in scheduling as errands or repairs may arise during the day; Must possess valid driver’s license and evidence of insurability; Ability to work in a respectful manner with people of diverse ethnicity, socioeconomic status, religion, culture, and sexual orientation.

WORKING CONDITIONS: High tolerance for ambiguity and change; Ability to work on your feet for 6 hours or more; Be able to drive and park program vehicle.

 DESIRED QUALIFICATIONS

Working knowledge of HIV disease and HIV related issues, including mental health concerns.

Experience in working in shelter or congregate homeless service settings.

Prior experience lived or working with individuals impacted by trauma or serving populations experiencing homelessness and other underserved or marginalized communities.
