Client Services Coordinator

PURPOSE: To provide case management, service coordination, and operational support at the HIV Services Day Center.

REPORTS TO: HIV Services Program Manager

DIRECT REPORTS: None

LOCATION: EMO’s HIV Day Center and other sites as needed.

CLASSIFICATION: Fulltime*, non-exempt. *32 hours/week is considered full-time at EMO.

WORK SCHEDULE: Monday, Tuesday, Wednesday, Friday, 7:30 am – 4:00 pm

BENEFITS: Wage range starts at $31.19 per hour.  All regular employees (does not include on-call or temporary) are eligible for vacation, holidays, sick leave, 401(k) retirement plan, employee assistance program and employee trainings.  Employees that work 18 hours per week or more, also receive medical insurance and dental insurance. Employees that work 20 hours per week or more receive disability insurance and life insurance. 

EMO has an organization-wide Pay Equity Plan (PEP). This PEP provides standardized increases to base pay for staff who have technical skills or specialized training beyond the minimum qualifications for a job, significant prior experience in similar roles, language skills relevant to the position, and/or who hold academic/professional degrees or certifications related to the role. 

RESPONSIBILITIES

  1. Encourage a spirit of hospitality, organization, and community within the HIV Day Center.
  2. Conduct client intakes and orient clients to the services provided by the HIV Day Center.
  3. Provide case management services, including crisis management, referrals to resources, assistance navigating systems, and general problem solving.
  4. Maintain accurate and timely case files and data entry into program software to ensure compliance with grants and other agency requirements.
  5. Establish, nurture, and develop ongoing relationships with community partners and coordinate their participation in Day Center services.
  6. Provide task supervision to HIV Services’ interns and volunteers.
  7. Promote the safety of clients, staff, and volunteers by developing, maintaining, and enforcing compliance with the HIV Day Center’s policies and procedures.
  8. Coordinate the HIV Day Center’s Transportation Program.
  9. Facilitate support groups and coordinate the Client Advisory Board.
  10. Other duties as assigned

QUALIFICATIONS

Commitment to the mission, vision and ethics of EMO, and ability to maintain an understanding of the services provided by the programs and projects of EMO.

  1. Strong communication and interpersonal skills, with the ability listen to and affirm people from a wide variety of backgrounds and circumstances.  
  2. High level of organization skills, attention to detail, and ability to handle a variety of tasks while being flexible to adjust to changing needs.
  3. Intermediate proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
  4. Basic technology troubleshooting skills.
  5. Ability to collaborate effectively with diverse stakeholders and partners.
  6. Ability to work independently and as part of a team.
  7. Possess a valid driver’s license,  and be insurable by Ecumenical Ministries of Oregon.
  8. Ability to lift and carry items up to 50 lbs.

Preferred 

  1. Working knowledge of HIV disease and HIV related issues.
  2. Lived and/or professional experience supporting individuals impacted by trauma, homelessness, mental health challenges, and addiction.
  3. Spanish language skills, in addition to English fluency.
  4. Degree in social work or related field.
  5. Training in trauma-informed care.
  6. Training in de-escalation.

  2. Ability to maintain a calm and professional demeanor when assisting clients in stressful situations.
  3. Good judgement about when to consult for decision-making.
  4. Self-motivated to generate recommendations for process improvements. 

Working Conditions

  1. Ability to work at a desk using a computer and phone up to eight hours a day. 
  2. Ability to work in a respectful manner with people of diverse ethnicity, socio-economic circumstances, religion, culture and sexual orientation. 
  3. High tolerance for ambiguity and change and willingness to learn and adapt to changing procedures and systems.
