Operations Assistant (Bilingual English/Spanish)

PURPOSE: To provide operational support to the HIV Services Day Center and the Daily Bread Express Program. 

REPORTS TO: HIV Services Program Manager 

DIRECT REPORTS: None 

LOCATION: HIV Day Center at 2941 NE Ainsworth St, Portland, Oregon and other sites, as needed. 

CLASSIFICATION: Fulltime*, non-exempt. *32 hours/week is considered full-time at EMO. 

WORK SCHEDULE: Monday – Thursday, 7:30 am – 4:00 pm 

BENEFITS: Wage range starts at $29.94 per hour.  All regular employees (does not include on-call or temporary) are eligible for vacation, holidays, sick leave, 401(k) retirement plan, employee assistance program and employee trainings.  Employees that work 18 hours per week or more, also receive medical insurance and dental insurance. Employees that work 20 hours per week or more receive disability insurance and life insurance.  

EMO has an organization-wide Pay Equity Plan (PEP). This PEP provides standardized increases to base pay for staff who have technical skills or specialized training beyond the minimum qualifications for a job, significant prior experience in similar roles, language skills relevant to the position, and/or who hold academic/professional degrees or certifications related to the role.  

RESPONSIBILITIES 

  1. Encourage a spirit of hospitality, organization, and community within the HIV Day Center. 
  1. Prepare the Day Center to receive clients each morning. 
  1. Coordinate client services, including laundry, showers, toiletries, mail, and the Clothing Closet. 
  1. Provide psychosocial support to Day Center clients and record notes in the program database. 
  1. Promote the safety of clients, staff, and volunteers by developing, maintaining, and enforcing client compliance with the HIV Day Center’s policies and procedures. 
  1. Pick up and drop off supplies, such as food for meals, clothing donations, and items from the Ecumenical Ministries of Oregon main office. 
  1. Coordinate facility and vehicle maintenance and repairs.  
  1. Troubleshoot technology issues related to computers and internet service. 
  1. Perform other duties as assigned. 

QUALIFICATIONS 

Commitment to the mission, vision, and ethics of EMO, and maintaining an understanding of the services provided by the programs and projects of EMO. 

  1. Bilingual with English and Spanish:  ability to communicate effectively in both languages through reading, writing and speaking. 
  1. Sensitivity toward cultural, racial, ethnic, socioeconomic, and sexual identity diversity, as well as physical/mental health abilities.   
  1. Possess a valid driver’s license, personal vehicle, insurance and be insurable by Ecumenical Ministries of Oregon. 
  1. Strong organization skills, attention to detail, and ability to handle a variety of tasks while being flexible to adjust to changing needs, based on unpredictable situations that arise in real time. 
  1. Intermediate proficiency in Microsoft Office Suite (Word, Excel, and Outlook). 
  1. Basic technology troubleshooting skills. 
  1. Ability to work independently and as part of a team.  
  1. Strong communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.  
  1. Ability to lift and carry items up to 50 lbs. 

Preferred  

  1. Working knowledge of HIV disease and HIV related issues, including mental health concerns. 
  1. Experience in working in shelter or congregate homeless service settings. 
  1. Prior experience lived or working with individuals impacted by trauma or serving populations experiencing homelessness and other underserved or marginalized communities. 

 RESPONSIBILITY:  

  • Ability to maintain a calm and professional demeanor when assisting clients in stressful situations. 
  • Ability to work collaboratively, follow directions, and contribute to process improvement efforts. 
  • Good judgement about when to consult for decision-making. 
  • Self-motivated to generate recommendations for process improvements.  

WORKING CONDITIONS:  

  • Ability to work while standing for up to six hours a day or more.  
  • Ability to work in a respectful manner with people of diverse ethnicity, socio-economic circumstances, religion, culture and sexual orientation.  
  • High tolerance for ambiguity and change and willingness to learn and adapt to changing procedures and systems.
