Program Assistant, HIV Services

PURPOSE: To provide client services, volunteer coordination, community outreach and assistance and support to other program staff in order to facilitate the daily operation of Ecumenical Ministries of Oregon’s HIV Services.

ACCOUNTABILITY: To the mission and goals of Ecumenical Ministries of Oregon (EMO) as determined by the Board of Directors, and as administered by the President and his/her delegates.

REPORTS TO: HIV Services Program Manager.

DIRECT REPORTS: HIV Services volunteers.

LOCATION: EMO’s HIV Day Center program site and other sites as needed.

CLASSIFICATION: Part time (20 hours/week), Non-exempt.

BENEFITS: Salary starts at $15.00 hourly. All regular employees (does not include on-call or temporary) are eligible for vacation, holidays, sick leave, 401(k) retirement plan, employee assistance program and employee trainings. Employees in exempt positions or non-exempt positions that are 20 hours per week or more, also receive medical insurance, dental insurance, disability insurance and life insurance, per eligibility requirements.

MAJOR RESPONSIBILITIES:

  1. Encourage a spirit of hospitality, organization and community within the HIV Day Center.
  2. Ensure the safety of clients, staff and volunteers by developing, maintaining and enforcing client compliance with the HIV Day Center’s policies and procedures, and serve as EMO Safety Committee Liaison.
  3. Assist Program Manager with community outreach and events.
  4. Help prepare the Day Center to receive clients each morning.
  5. Manage in kind donations.
  6. Plan daily activities and field trips for Day Center clients.
  7. Drive an EMO vehicle to transport clients on field trips.
  8. Provide psychosocial support to Day Center clients.
  9. Monitor and coordinate services related to client basic needs, including: Laundry, Showers, Toiletries, Mail, and the Clothing Closet.
  10. Assist Project Coordinator in volunteer coordination and monthly tracking.
  11. Track attendance, record activities and participation to HIV Services Storiicare software.
  12. Update community boards with relevant resources and events.
  13. Maintain sanitation of frequently touched surfaces, computers and phones.
  14. Other duties as assigned.

QUALIFICATIONS: Ability to work within the mission, vision and ethics of EMO, and maintain an understanding of the services provided by the programs and projects of EMO.

KNOWLEDGE: Experience recruiting, training and supervising volunteers; Current food handler’s permit; Familiarity with Microsoft Windows tools and applications.

SKILLS: Ability to work both independently and collaboratively; Excellent oral and interpersonal skills with the ability to listen to and affirm people from a wide variety of backgrounds and circumstances; especially to treat all individuals with respect and dignity.

EFFORT: High level of organization and prioritization skills; Must possess valid driver’s license and evidence of insurability.

RESPONSIBILITY: Ability to maintain a calm, professional demeanor.

WORKING CONDITIONS: Ability to work in a respectful manner with people of diverse ethnicity, socio-economic circumstances, religion, culture and sexual orientation; High tolerance for ambiguity and change.

DESIRED QUALIFICATIONS
Spanish language proficiency.
Working knowledge of HIV disease and HIV related issues, including mental health concerns.
Prior experience working with individuals impacted by trauma or serving populations experiencing homelessness and other underserved or marginalized communities.
Experience in event planning and/or community outreach.
